Official Records
Ordering Service Overview

The Official Records Ordering Service enables you to order documents from Florida County Clerk Offices. You may choose for the documents to be shipped via regular US Mail, Fax, and Overnight/Expedited Delivery.

You may search for Official Records using a variety of methods. After submitting your search criteria (such as name, county, or date range), the service will produce a list of all possible results that match your search criteria.

From the results, you may then select the Official Record(s) you would like to order, the quantity, whether it should be certified, and the shipping method.

Your request will be immediately transmitted to the appropriate County Clerk Office for processing. The Clerk Offices typically process orders within 2 business days including fax orders.

An Order Confirmation will be emailed to you immediately after placing your order. An Order Receipt will be emailed to you as each County Clerk(s) ships your order.

Two options are available for payments. You may set up a subscription which offers monthly billing or you may instantly pay using MasterCard or Visa.

The Official Record Ordering Service is offered to you by Florida's Clerks of Court.

Certified Records

A Certified Record is stamped and signed by the County Clerk. You may choose to order a Certified Record or an Uncertified Record. Uncertified Records contain the same information and level of detail as Certified Records; however, they are not stamped and signed by the County Clerk.

There is an extra $2.00 per Record fee for each Certified Record you order.

Database Coverage / Record Time Span

For each County and also for each type of Official Record, the time span of Records included in the database varies. For example, County ABC may offer Deeds from January 1980-present but offer Marriage Records only from May 1995-present. County 123 may offer all Records from June 1965-present.

Database Updates

Most counties update their online Official Records each week night. Updates contain information processed during that business day. To determine the date of the most recent Official Record update for a specific county, please refer to the Help Section titled "Availability and Record Timeframes".

Shipping Methods

For each county from which you have ordered Official Records, you may choose how you would like your order shipped. You may choose from normal US Mail, Fax, or Overnight/Expedited Service.

Overnight/Expedited shipments are typically delivered by noon the next business day. However, if the Clerk's Office is located in a rural area or if the delivery is located in a rural area, Overnight/Expedited shipment may not be available overnight but the next day. (Note: Fax service is not available for these counties: Desoto, Flagler, Franklin, Lee, Palm Beach and Suwannee counties will fax up to 10 pages.)

Fee Structure

There is no charge to search the database. There is only a fee when you choose to order an Official Record.

The total price of an online Official Record order is comprised of the Official Record Fee + Shipping Fee + Convenience Fee.

Two options are available for payments. You may set up a subscription which offers monthly billing or you may instantly pay using MasterCard or Visa.

Credit card customers will not be assessed the charge until the County Clerk ships your order.

If your order includes records from multiple counties, your credit card will be charged the amount owed to each particular County Clerk when that County ships your order. For example, if your order includes an Official Record from both Dade County and Manatee County, your credit card will be charged the amount owed to Dade County on the day Dade ships your document. You will be charged for the amount owed to Manatee County on the day Manatee ships your document.

If, for some reason, your order cannot be shipped, you will not be charged a fee. You will also receive an email notification.

MyFloridaCounty.com uses a self-supporting public-private business model that provides not only for enhancements and customer support of our existing services but also expansion to new online services. All of this is accomplished without using tax dollars.

The ecommerce services are supported through convenience fees assessed only to the users of the services. Although the fees vary by type of transaction and value, they typically range from $3.50-$13.00. The average fee is $4.00 or less. Fee amounts are established and managed by a representative group of local government officials.

With the click of your mouse, MyFloridaCounty.com's ECommerce Services offer you easy access and instant credit card payment of a variety of transactions. You can rest assured your transaction will be processed immediately by the local governments.

MyFloridaCounty.com ECommerce Services are optional and are just one method you may choose in conducting business with the local governments of Florida. You may continue, as always, to use more traditional methods, such as US Mail and visiting the local government offices in person.

Reference ID

Reference ID is an optional field for subscription customers to assist with accounting and managerial reporting functions. Before submitting a search request, you can input a customer name, account number, department name, account executive, or etc. into the Reference ID area.

Your online billing summary for subscription services will provide not only a total of any fees you have incurred, but also provide sub-totals per Reference ID.

Reference ID sub-totals are available only through the online billing summary. They are not displayed on other invoicing statements.

This area is provided only as an aid to you. The Reference ID will not appear on any records, licenses etc. that are a result of your search.

Search Tips

You may search the documents using a variety of search criteria such as Name, Location and Document Type.

Searching by Party Name

In order to maximize your chance of retrieving a match for the person you are researching, there are a few items to keep in mind:

The service retrieves exact matches to your search criteria. For example, if your search criteria are: "Joe Landowner, mortgage, Marion County, Jan 20 1995 - Jan 21 1995", the service will retrieve only those records which exactly match all criteria.

If even one criteria item, such as the date range, is different or missing from the database, the service will not return a match even though Joe Landowner may indeed have a mortgage.

To maximize the likelihood of retrieving a match for Joe Landowner, use as few search criteria as possible.

We suggest searching by the last name, "Landowner" and the Record type and/or County. Leave the other optional criteria blank. The resulting list of matches will provide all people with the last name of "Landowner" who are associated with that Record type and/or within the County.

If the last name is a common last name, the resulting list may be extremely large. In this case, you may decide to narrow your search parameters by using last name plus first initial, "J Landowner". The resulting list will include all people with the first initial of J, including Jane Landowner, Jim Landowner, John Landowner, and etc.

Searching by Partial Name

You may search by partial name. The service will return all names exactly matching your search criteria name plus all additional names which begin with the same letters.

For example, if your search criteria are: "Joe Johns", the resulting matches will contain "Joe Johns", "Joey Johns", and "Joe Johnson".

Matching Names in the Database

Names are typically entered into the computer by government offices exactly the way the appear on the Official Record. In some circumstances, the way names are entered may differ slightly from county to county. For example, whether there is a space between initials of a company (as in JC Penney) or what is entered as a last name when someone has a hyphenated last name.

Below are sample names and suggested ways to search for them in the database. If you do not retrieve a match to your search using these suggested search patterns, try entering the name slightly differently, such as adding a space between initials (J C Penney) and etc.
